How to Use Claude at Work: A Guide for Any Role

Most people use Claude like a search box and wonder why it feels underwhelming. Used properly, it drafts, analyses and reviews at a level that reshapes your week, whatever your job. This is the practical guide: the four-part prompt, the Projects habit, the role-by-role use cases, and the data rules that keep it safe.

Umar is an FCCA-qualified accountant who founded Prime AI Solutions to help businesses implement AI in 8–12 weeks with guaranteed ROI, with deep expertise across finance, operations, and revenue functions. Previously at EY, HSBC, Shell, NatWest, Morgan Stanley, ASOS and Unilabs, his work bridges practical commercial experience with applied AI in regulated environments.

The short answer

Stop typing one-line questions. Give Claude a role, the context, clear instructions and the output format you want, then iterate. Move recurring work into Projects so every draft starts warm with your standards already loaded. Apply the same four-part pattern whether you are in marketing, operations, HR, legal or finance. And keep one rule: business-tier account, no personal or confidential data in a consumer tool, human check on anything that leaves the building. If you would rather learn these habits built for your exact role than assemble them by trial and error, that is precisely what our Work With Claude course does, for £99 per seat.

The four-part prompt that changes everything

The single biggest upgrade is to stop asking questions and start giving briefs. A weak prompt is "write a project update." A strong one gives Claude four things: a role ("you are a programme manager writing for a board"), the context (the source notes, the audience, the constraints), clear instructions (what to do, what to avoid), and the format you want back (a one-page summary, three bullets per workstream, a specific tone). The same brief that would take a colleague a paragraph of explanation takes Claude a paragraph too, and the output quality tracks the input almost exactly.

This is the core of the RACEF prompting framework we teach: Role, Action, Context, Examples, Format. The examples part matters more than people expect. Paste one email you were happy with, or one report in your house style, and ask Claude to match it. It will pick up structure and register from a single sample far better than from adjectives like "professional" or "concise." Show, do not tell.

Projects: where the real payoff is

A normal chat starts cold every time, which means re-explaining your context on every task. A Project is a persistent workspace where you load instructions, reference documents and standards once, and every conversation inside it inherits them. Set up a Project per client, workstream or document type: drop in your templates, your tone guide, your recurring source material, and a short set of standing instructions. From then on, "draft this month's update" produces something already shaped to your format, because the Project remembers what a fresh chat forgets.

This is the step most people miss when they move from casual use to real work, and it is where hours start coming back. The same principle carries into more advanced setups; our walkthrough of Claude Projects for structured workflows shows a fully built example you can adapt to any function, not just finance.

Want to go deeper? Our Work With Claude course turns these tactics into a working skill with templates and exercises, for £99 per seat.

What it looks like in your role

Marketing and content: turn one campaign brief into a full set of assets in your brand voice, repurpose a webinar transcript into a newsletter and ten social posts, and pressure-test messaging against a described audience before it ships.

Operations and admin: draft and standardise process documentation, summarise long email threads into decisions and owners, and convert messy meeting notes into structured actions with deadlines.

People and HR: build job descriptions and interview scorecards from a role brief, draft policy explainers in plain English, and turn engagement-survey free text into themes, all with personal data kept out of the tool.

Legal and compliance: review long contracts for specific clauses, produce first-pass summaries of policy documents, and draft plain-English versions of dense terms for the rest of the business, always as a draft a qualified person checks.

Finance and data: draft commentary from figures you provide, reason through multi-tab workbooks, and explain a variance in language a non-finance board will follow. The pattern is identical across every role: role, context, instructions, format, then review.

The data rules, in one paragraph

On business and enterprise plans, Anthropic states your prompts and files are not used to train its models by default, which is the baseline any organisation should require. The real risk is not the vendor; it is the habit. Do not paste personal data, customer records or confidential figures into a free consumer account. Use a business tier, strip identifiers where you can, follow your company's AI policy, and keep a human check on anything that goes to a customer, a regulator or the public. Fluency and safety are the same skill: knowing what to put in, and what to keep out.

The habit most people skip: iterate, do not accept

The gap between a mediocre result and a great one is usually not the first prompt; it is the second, third and fourth. People treat AI like a vending machine, take whatever drops out, and judge the tool on that. Fluent users treat the first output as a draft to react to. "Good, but make the second section shorter and lead with the risk." "Rewrite this for a sceptical finance director." "You have missed the point about timelines, here is what I mean." Each correction is cheap and fast, and the quality climbs steeply across a handful of turns. Because Claude holds context across a conversation, it improves against your feedback rather than starting over.

The same instinct applies to checking. Ask it to critique its own draft against your brief, or to list what it is unsure about, and you surface the weak spots before a colleague does. This is not a workaround for an unreliable tool; it is how professionals work with any capable assistant, human or otherwise. Brief well, react honestly, verify deliberately.

Going from good to fluent

Everything above gets you to competent. Fluent, the level where AI quietly removes hours from your week, comes from repetition on your own real tasks with a bit of structure. That is what our Work With Claude course is for: it personalises every lesson to your job function, walks the RACEF framework through tasks you actually do, and hands you the reusable prompts and Project setups to keep, for £99 per seat with a free preview. If your organisation wants to move a whole team rather than an individual, Prime AI Solutions also runs AI consulting and opportunity assessments to design the rollout properly.

Why us

Why Work With Claude is the best way to learn Claude

It is built by Prime AI Solutions, an AI consultancy led by Umar Din FCCA that trains finance and operations teams across UK and MENA organisations. This is not theory from people who read about AI. It is the same RACEF prompting framework and F.A.I.R. tool-selection discipline we use inside paid consulting engagements, packaged so you can learn it yourself.

  • Personalised to your job: the RACEF prompt blocks re-skin to marketing, operations, HR, legal, finance or a generalist track
  • Self-paced online, no coding or technical skills required
  • A completion certificate you keep, to evidence the skill
  • A free preview so you can judge the fit before you pay
  • £99 per seat, cheaper than a single month of most AI subscription tools

Most AI courses teach prompting in the abstract with screenshots of a different tool. We think you learn faster when every lesson is Claude-specific and built around the work you already do, which is why the course adapts to your role rather than the other way round.
