A pattern we see often: a growing UK business has run Sage or Xero for years, the board has agreed to move to Microsoft, and the finance director is now being asked to choose between two products that share a brand and very little else. Partners tend to lead with the product they sell most. This guide sets out the differences from the finance team's side, with Microsoft's own UK prices as checked on 17 October 2026.

When Business Central Is the Right Choice
Business Central is one application for the whole business. Finance, sales and purchasing, inventory, jobs and projects all sit in the same system, and the Premium plan adds service management and manufacturing. For a business with one or a handful of companies, mostly in the UK, that is usually all the ERP it needs, and it keeps the finance team close to the operational data that drives the numbers.
It is also the more practical choice to own. Implementations are measured in weeks to months rather than quarters, the licence is well under half the price of Dynamics 365 Finance per user, and the large partner and add-on ecosystem means most gaps, from UK payroll to advanced reporting, can be filled without custom development. Many finance teams run it themselves with a partner for support.
The common mistake is assuming Business Central is a small-business product that you must replace once you pass a certain headcount. It is not. Plenty of businesses with large finance and operations teams run on it well. What it handles less comfortably is structural complexity, which is where the next section starts.
When You Need Dynamics 365 Finance
Dynamics 365 Finance is Microsoft's enterprise finance application. It is built for groups with many legal entities, multiple currencies and countries, heavy intercompany trading and formal consolidation, with the statutory localisations to match. It is usually deployed alongside Dynamics 365 Supply Chain Management, which is why you will often hear the pair called F&O, for Finance and Operations.
The signs you genuinely need it are about structure and process, not size. Intercompany eliminations done in spreadsheets every month. Statutory reporting in several countries. A consolidation that takes days because entities sit in different systems. Budgeting and planning that the ERP cannot support. A supply chain complex enough to need advanced warehousing or production planning. If two or more of those describe you, the extra cost is likely to pay back.
If none of them do, be wary of a recommendation to go straight to Finance because the business plans to grow. Moving later is a project in its own right, but paying enterprise licence and implementation costs years before you need them is a common and expensive habit.

Copilot and AI Agents in Each
Both products now ship with Microsoft's AI built in, but in different ways. Microsoft lists Copilot as included in Business Central, so a finance team gets help with tasks such as drafting, summarising and finding data inside the system without a separate licence. Agents you build yourself in Copilot Studio use credits that are sold separately and need an Azure subscription.
On Dynamics 365 Finance, the Premium plan includes 1,000 Copilot Credits per user per month, and Microsoft lists access to the Account Reconciliation Agent, currently in preview, on both Finance plans. That agent compares data across sources and classifies matches, which is useful in the right conditions and a fast way to expose poor data in the wrong ones.
In both cases, AI in the ERP works only as well as the data and the controls around it. Decide which steps the AI may prepare and which a person must approve, and write that into the close checklist before you switch anything on. Our guides to Copilot Cowork in Dynamics 365 and AI inside SAP, Dynamics 365 and NetSuite go further.
The Real Cost: Licences, Implementation and People
Licences are the easy part to compare. For ten full users, Business Central Essentials comes to £615 a month and Dynamics 365 Finance to £1,615 a month, before VAT, at the prices above. The larger costs sit around the licence: implementation, data migration, integrations, training and ongoing support, which together usually cost more than the first year of licences on either product.
People are the third cost. ITJobsWatch puts the median UK contract day rate for a Dynamics 365 Consultant at £509, with the middle half of advertised rates between £461 and £616, for the six months to 17 October 2026. Dynamics 365 Finance projects typically need more of those days, and a finance systems role or partner retainer afterwards. Business Central projects need fewer, and many finance teams handle day-to-day changes themselves.
The cheapest decision is the one made on evidence: map your processes, list the requirements that genuinely need enterprise capability, and only then compare products. That is the first thing we do on any ERP engagement.
